Time Management: Busy is not Effective

Time is irreplaceable. It is more valuable than money especially in a fast-paced world like ours today. You can always get your money even when you lose it, but you can never get back your time. Spend your time where it matters most. 


Where!

Have you ever felt like there is not enough time for you to carry out all what you have planned to do in a day? Well... The truth is there will never be enough time to do everything! Do not lose hope just yet... You can achieve everything you have set out to do even within the 'limited time' that you have.  

Does it not puzzle you that some other people achieve so much within the same 24 hours we all have? 

The difference?

Effective time management!

Time management is a way of structuring and planning how to allocate your time between the activities you wish to carry out. When time is managed well, one will be able to work smarter thereby getting so much done in less time even when pressure is high and mounting. Working smarter is the best and effortless way of doing things. Working harder does not guarantee that you will get maximum results. Plus, it will be stressful. 

When time is not managed well, you create unnecessary stress and effectiveness is damaged. With time management, you exercise a conscious control in the time you spend on activities. This increases your efficiency tremendously.

The first and most crucial thing to note for good and effective time management is a change in thinking, focusing on results rather than activities. This means that you must understand that being busy is never the same as been effective. 

You can be busy doing nothing when you spend your day in a frenzy of activities, not achieving much because you had your attention divided attending to so many things at the same time.  


Steps for Effective Time Management 

  1. Do it. Whenever you have an urgent and important task, it is way better to do it at once. The most successful people all agree that starting your tasks early is a sure way to kick-start your day as well as endure maximum productivity. Work on your tasks and activities as soon as possible so that you can always go back to brush it up if necessary. It is much easier to polish up a work and make it perfect than to force a perfect job in one run. Avoid procrastination...avoid 'I’ll do it later'. 
  2. Plan and prioritize. Planning goes together with effective time management. You can only make the best use of your time when it is thoroughly planned. Planning does not necessarily mean following a strict routine, rather, it means making good and smart decisions of knowing the right time to carry out various activities and tasks. When planning, you tend to prioritize. This makes you identify the tasks that are important but not urgent, the urgent and important as well as the unimportant. Refusal to prioritize will only make you lose sight of what is important and urgent. You end up doing the less important things thereby wasting your time. There are several project managements tools that can help you plan and set your priorities right. 
  3. Identify and harness your most productive hours. Move your high priority tasks to your most productive hours. Studies have shown that days are controlled by cycles that dictate how motivated and alert you are. You may be at your highest brain capacity, attention and focus before lunch every day and slow down tremendously in the evening. It will make perfect sense to move projects that require critical thinking and decisions to mornings. You just made effective use of your golden hour.
